Privacy policy

What we collect, and what we do with it.

This policy covers asisystems.io, run by Artificial Systems Integration LLC ("ASI", "we"). The short version: this site sets no cookies and runs no advertising trackers, our visitor statistics count pages rather than people, and everything you send us can be inspected, corrected, or deleted by emailing contact@asisystems.io.

1. What this site collects

The contact form

When you submit the contact form we store what you typed: your name, work email, company, company size, area of interest, and your message — together with the page you sent it from, your IP address, and your browser's user-agent string (kept for abuse prevention, never shown publicly). Each submission gets a reference number and a cryptographic digest so you can verify later that our stored copy was not altered.

We use these details for exactly one thing: replying to your enquiry. There is no newsletter, no marketing sequence, and your details are never sold or shared for advertising.

The AI concierge

The "Talk to Amanda" widget is a live AI assistant. If you choose to start a session, your typed messages — and, if you grant microphone permission, your voice — are streamed to Google's Gemini API in real time to run the conversation. Microphone access is optional and requested through your browser; typed chat works without it.

  • We do not record or store your audio.
  • We do not store transcripts of concierge conversations.
  • If you ask the concierge to pass your details to our team, it collects the same information as the contact form, with your confirmation, and it is handled identically — including the reference number and confirmation email.

Please do not share sensitive personal information (health, financial, or government-ID details) with the concierge. It is instructed not to ask for any of it.

Rate limiting

To keep the form and concierge available to everyone, we count how often each connection uses them. These counters store a salted, truncated hash of your IP address — not the address itself — and expire automatically within days.

Visitor statistics

We count page views so we know which parts of this site are useful. This runs on Plausible Analytics, a privacy-focused service that sets no cookies and builds no profile of you. It records the page you looked at, the site or search engine that sent you, and a rough country, device type, and browser — derived and then discarded, never assembled into one person's history. Page addresses are recorded without their query strings, so a private link you were sent never leaves this site.

We count a handful of anonymous actions the same way: when the concierge greeting appears and whether it was accepted or dismissed, when a concierge session starts, and when the contact form is submitted. These are counters, not records — nothing you typed is included, and none of it is tied to you or to anything you sent us.

What we do not collect

  • No advertising trackers, no cross-site tracking, no profiling.
  • No cookies at all — this site sets none, and neither does anything it loads.
  • No accounts, no passwords, no payment details.

2. Where it is processed

This site runs on Google Cloud in the United States. The services involved are Firebase Hosting (serving pages), Cloud Functions and Firestore (storing submissions), Google Workspace (sending and receiving email), the Gemini API (the concierge conversation), and Google Fonts (typefaces — your browser requests these directly from Google, which sees your IP address as with any web request). Google acts as our infrastructure provider.

Visitor statistics are handled by Plausible Analytics, an independent service that receives the page address, the referring site, and your browser's user-agent and IP address in order to work out a country and device type — then discards both without storing them. Beyond Google as our infrastructure provider and Plausible for statistics, we do not give any third party access to your information, except where the law requires it.

3. Emails we send

Submitting the form (or asking the concierge to send your details) triggers two emails: a confirmation to the address you gave — echoing your submission back with its reference and a private link to view your record — and an internal notification to our team. That is the only automated email this site sends. Everything after it is written by a person.

4. How long we keep it

Submissions are kept for as long as they are relevant to an actual or potential engagement, and deleted when they are not. Rate-limit counters expire automatically within days. If you would like your submission deleted sooner, email us — or reply to your confirmation email — and we will delete the record and confirm.

5. Your rights

You can see exactly what we hold on you at any time using the private link in your confirmation email. You can ask us to correct or delete it — including if someone submitted your details without your knowledge — by emailing contact@asisystems.io and quoting your reference if you have one. We answer within one business day.

6. Changes

If this policy changes, the date at the top changes with it. A change never applies retroactively to information you already gave us without us telling you first.
